Assistant Wedding Coordinator

Overview

Hummingbird House is looking for a dedicated, detail-oriented, and proactive individual to join our team as an Assistant Wedding Coordinator. This role is perfect for someone passionate about events, enjoys working in a fast-paced environment, and takes pride in delivering exceptional service.

As an Assistant Wedding Coordinator, you will play a key role in ensuring that weddings and events run smoothly. You’ll serve as the venue’s representative, assisting the lead wedding coordinator, supporting vendors and clients, and maintaining the venue’s quality standards throughout each event.

Availability

  • Part-time position requiring availability on Fridays, Saturdays, and Sundays (typically between 2 PM – 11 PM).
  • Scheduling is rotated among a small team, allowing for flexibility and time off as needed.
  • Expect to work 4-5 events per month, with potential for more depending on the season.
  • Ideal for someone looking for additional weekend income with a passion for events.

Responsibilities

  • Assist the Wedding Coordinator with event execution, ensuring all details align with the couple’s vision.
  • Greet and direct vendors upon arrival, assisting them with setup and venue logistics.
  • Support clients and their families with any last-minute needs or concerns.
  • Manage the event timeline, helping to keep vendors and wedding parties on schedule.
  • Troubleshoot and resolve any issues that arise during the event to ensure a seamless experience.
  • Monitor the venue’s condition throughout the event, keeping spaces tidy and addressing any concerns.
  • Help facilitate key moments such as the ceremony processional, reception transitions, and send-off.
  • Liaise between vendors, clients, and the venue to ensure smooth communication.
  • Provide support with event breakdown, ensuring vendors and guests exit in accordance with venue guidelines.

Qualifications

  • Highly organized, detail-oriented, and proactive.
  • Weekend availability is required.
  • Comfortable working long hours on your feet in a fast-paced environment.
  • Reliable transportation to and from the venue.
  • Self-motivated with the ability to work independently while taking direction as needed.
  • Strong interpersonal skills – friendly, professional, and capable of handling high-pressure situations.
  • Previous event or wedding coordination experience is a plus, but we welcome candidates eager to learn!
  • Excellent time management and communication skills are essential.
