Overview:
As an A/P and A/R Data Entry Specialist, you will play a key role in ensuring accurate financial reporting, analysis, and compliance. You will work cross-functionally with the finance team to manage and optimize accounting processes. This role is perfect for a proactive individual with a passion for numbers, attention to detail, and an understanding of accounting principles.
Key Responsibilities:
- Accounts Payable (A/P):
- Review and verify invoices for accuracy and completeness.
- Enter invoice details into the accounting system.
- Match invoices with corresponding purchase orders and receipts.
- Prepare and process vendor payments.
- Reconcile vendor statements and resolve discrepancies.
- Maintain accurate vendor records and ensure compliance with company policies and procedures.
- Accounts Receivable (A/R):
- Generate and distribute customer invoices in a timely manner.
- Record payments received and allocate them to the appropriate accounts.
- Follow up on overdue accounts and maintain proactive communication with customers.
- Reconcile customer accounts and investigate any discrepancies.
- Prepare and distribute regular A/R aging reports for management.
- General Responsibilities:
- Ensure compliance with company financial policies and procedures.
- Collaborate with the finance team to support month-end and year-end close processes.
- Maintain organized filing systems for both electronic and paper A/P and A/R documentation.
- Assist with audits by providing necessary documentation and information.
Qualifications:
- Must be bilingual (Spanish and English)
- Must have high school diploma or equivalent.
- Associate degree in Accounting or must be studying Accounting, Finance, or a related field.
- Proven experience in accounts payable and/or accounts receivable roles.
- Soft Skills: Strong analytical skills, attention to detail, problem-solving abilities, time-management, and effective communication.
- Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle) and Microsoft Excel preferred.
