Spring Lake Education Administrative Assistant | Work Study

The Meadows Center for Water and the Environment at Texas State University is dedicated to inspiring research, leadership and innovation that ensures clean, abundant water for the environment and all humanity. Our work in each of these pillars begins at Spring Lake – one of the largest artesian springs in the world – and ripples outward across Texas and beyond.

The Meadows Center is seeking a student worker to assist the Spring Lake Education Program with a variety of tasks including projects with our accounting, events, and education offices.

Qualifications

Applicants must have Spring 2024 work-study. Applicants must have superior interpersonal skills including dependability, responsibility, motivation, time management, organization, excellent attention to detail and the ability to follow directions.

Schedule

Applicants must have availability during the times of 800a -500p Mon – Fri with a minimum of 4 hour blocks per scheduled shift. Morning or afternoon shifts are preferred.

Job Requirements

  • Must be able to work 4 shifts with a minimum of three weekday mornings
  • Must have experience working in an office setting
  • Must have great customer service skills, self-motivated, and a willingness to learn
  • Must be proficient in Excel and Word
  • Texas State Parking Pass is required if you plan to drive to work
  • Must have a reliable method of getting to work

Responsibilities

Assist Spring Lake Education staff with assisting our Education Manager and Accounts Manager with general office tasks, budgeting, account reconciliation, accounts payable, invoicing, contracts, employment related tasks as well as skills with the following:

  • Communicating with the public through our Spring Lake Education email account and over the phone
  • Booking/Creating confirmation paperwork for all field trips and private groups
  • Keeping careful record on our shared calendars of who has booked with us
  • Sending out reminder calls and emails for groups that have upcoming tours booked with us
  • Helping to create weekly staff schedules
  • Creating invoices for all groups and special events (including refunds, billing, and payment receipts)
  • Tracking of all invoicing
  • Logging online transactions
  • Assisting with front desk duties: answering phone calls and assisting with events in our Conference Room
  • All other duties as assigned
