Practice Assistant
Part-Time Personal & Practice Assistant
Approximately 10 hours/week | Flexible schedule | Austin/Round Rock area
About the Role
I’m a psychotherapist, trainer, and doctoral student looking for a reliable, resourceful Personal & Practice Assistant to help me make the best use of my time.
I maintain a private psychotherapy practice while also pursuing a PhD, developing and teaching professional trainings, and running educational programs. I’m looking for someone who can take a variety of administrative, marketing, and practical tasks (& clinical tasks for the right candidate) off my plate so that I can focus more of my time on clinical work, training, research, and writing.
This is not a narrowly defined administrative position. The work will vary from week to week depending on what needs attention. Some weeks may involve social media and marketing projects; others might include researching a service, communicating with a vendor, organizing materials, making appointments, picking something up, or helping me follow through on the many small tasks that accompany running a practice and several professional projects.
The common purpose behind all of the work is simple: help me spend less time on tasks that someone else can do well so I can devote more time to my research, training & clinical work.
What You Might Help With
Responsibilities may include:
Helping prepare, schedule, and manage social media content across multiple platforms
Assisting with marketing for classes, trainings, presentations, and other professional offerings
Formatting or updating flyers, handouts, presentations, emails, and other materials
Helping maintain mailing lists, contact lists, and other basic business information
Researching products, services, vendors, events, or solutions and summarizing the options
Communicating with vendors, contractors, and other businesses on my behalf
Helping me manage my calendar or responses to web forms
Helping me manage my task list
Handling occasional local errands, returns, pickups, drop-offs, or purchases
Being available to meet with vendors, contractors, repair professionals, or other service providers who come to my home
Organizing digital or physical materials
Helping prepare materials for trainings, classes, conferences, or presentations
Assisting with routine technology or online tasks
Keeping track of small projects and helping ensure that things don’t fall through the cracks
Taking on miscellaneous tasks that free up my time and attention
Tasks that can be completed at a computer should generally be done off-site. However, you must be available for occasional in-person needs, including running errands and meeting with vendors or service providers who may come to my home.
The position does not involve providing psychotherapy or making clinical decisions. Because some work relates to a mental health practice, discretion and respect for privacy are essential, and clear boundaries will be maintained around confidential client information.
Who Would Be a Great Fit
I’m looking for someone who is:
Highly reliable. If you say you’re going to take care of something, I can trust that it will get done or that you’ll let me know if you encounter a problem.
Resourceful. You are comfortable figuring things out, researching options, asking good questions, and proposing solutions.
Organized without needing everything to be perfectly organized around you. You can step into a busy environment, identify priorities, and create structure where it’s useful.
A strong communicator. You can write a clear email, communicate professionally with a vendor, and keep me updated without requiring extensive supervision.
Comfortable with technology. You don’t need to know every platform already, but you should be confident learning new tools and navigating common online systems.
Detail-oriented. You notice errors, dates, deadlines, missing information, and unfinished tasks.
Comfortable with variety. You won’t be doing the exact same thing every week.
Able to exercise good judgment. You’ll know when you can handle something independently and when you should check with me first.
Available for occasional in-person work. You can come to my home when needed to meet with vendors or service providers and can handle local errands independently.
Respectful of confidentiality and professional boundaries.
Nonjudgmental and flexible. My ADHD helps me with a lot of things, but the places where it causes me to struggle are where I need your help.
Particularly Helpful Experience
Any of the following would be helpful, but none is required:
Social media or digital marketing
Canva or basic graphic design
Google Workspace
Email marketing platforms
Administrative or executive assistant work
Private-practice administration
Project coordination
Working with therapists, healthcare professionals, academics, educators, or entrepreneurs
Familiarity with ADHD
I care more about reliability, judgment, initiative, and the ability to learn than about having a particular degree or résumé.
Schedule, Compensation, and Work Arrangement
The position will average approximately 10 hours per week.
Compensation will be $25-35 per hour, depending on experience, relevant skills, and the level of independence demonstrated. Candidates with strong experience in marketing, project coordination, executive assistance, or small-business operations may be considered at the higher end of the range.
Because the role includes both computer-based work and occasional local errands or in-person responsibilities, paid time will include time spent completing approved work-related errands and meeting with vendors or service providers. Any pre-approved purchases or other out-of-pocket expenses will be reimbursed separately.
There is some flexibility in when the work is completed, although I would like someone who can generally respond and handle tasks during the workweek rather than completing everything on one day.
Computer-based tasks should generally be completed off-site. Some responsibilities will require being physically present in the Round Rock/Austin area, including local errands and meeting with vendors, contractors, repair professionals, or other service providers who come to my home. For that reason, this position is best suited to someone local who has reliable transportation and some availability during regular business hours.
The exact mix of remote and in-person work can vary from week to week.
What Success Looks Like
The right person will gradually become someone I can hand things to with increasing confidence.
Rather than my needing to remember and manage every step, I should increasingly be able to say, “Can you take care of this?” and know that you’ll either handle it or come back to me with the information or decisions you need.
A successful assistant will help reduce the number of administrative details competing for my attention and make it easier for me to focus on my highest-value work: seeing clients, developing resources for adults with ADHD, training other professionals, teaching, writing, and completing my doctoral work.
