Part-Time Finance Administrator in Residential Construction

Job Overview:

The Part-Time Finance Administrator supports the Finance Manager in maintaining accurate, organized, and compliant financial records across all Build Native projects. This role focuses on administrative and transactional finance tasks, ensuring timely processing of accounts payable and receivable items, organized documentation, and vendor compliance. The ideal candidate is detail-oriented, dependable, and motivated by helping a mission-driven construction company maintain financial transparency and operational efficiency.

Key Responsibilities:

CBUSA Reporting: Prepare and file quarterly CBUSA reports accurately and on schedule. Coordinate with the Finance Manager and Project Managers to verify vendor purchases, cost codes, and supporting documentation.

Accounting Inbox Management: Monitor and organize the accounting email inbox to ensure timely responses, document routing, and task follow-up related to finance items.

Invoice Documentation: Label, download, and file invoices into the appropriate project folders in Google Drive or Buildertrend, ensuring documentation accuracy and naming consistency.

Builders Risk Coverage Tracking: Maintain up-to-date records of Builders Risk insurance coverage for all active projects and communicate any updates or renewals needed.

Vendor and Subcontractor Compliance: Collect and track subcontractor/vendor documents including Certificates of Insurance (COIs), W-9s, and executed trade agreements. Ensure compliance is verified prior to payment.

AP/AR Assistance: Support the Finance Manager with preparing and processing select payments, coding expenses, and reconciling receipts or vendor statements as needed.

Process Tracking: Maintain and update Build Native’s internal finance and administrative tracking systems to reflect current documentation and compliance statuses.

General Support: Provide other financial administrative assistance as needed to support company operations and help improve efficiency and documentation practices.

Qualifications:

1+ years of administration, bookkeeping, accounting, or finance administration experience (construction experience preferred).

Strong attention to detail and excellent organizational skills.

Familiarity in Google Workspace (Drive, Sheets, Gmail) and accounting software (QuickBooks, Buildertrend experience a plus).

Ability to manage multiple priorities, meet deadlines, and follow standardized processes.

Professional written and verbal communication skills.

Interest in sustainable building and renewable energy is a plus.

Hours: Part-time, flexible scheduling 

(approximately 15–20 hours per week, depending on workload)

Location: Austin, TX (remote, company-wide team meetings and volunteering optional)
