Mail & Member Coordinator

About the role

We're looking for a Mail & Member Services Coordinator to join our team part-time. The majority of this role is focused on mailroom and virtual office operations — processing incoming mail and packages, working with our virtual office vendor portals, and managing member requests. A small portion of the role involves light, occasional front-of-house support when our community managers need a brief hand at the desk.

You'll report to our Community Managers and be a key part of the team keeping Createscape running smoothly day to day.

What you'll do

Mail & virtual office operations (primary focus)

  • Process and sort incoming mail and packages for our coworking and virtual office members
  • Date-stamp, log, and upload mail items into our virtual office portals
  • Learn and follow procedures for multiple third-party virtual office vendors we work with
  • Place mail and packages into member folders or storage
  • Process member requests like mail scanning, mail forwarding, and pickups
  • Communicate with members about their mail and packages by email or in person
  • Handle a small amount of related administrative work as needed
  • Attend mail-specific staff meetings when we have updates or changes to processes

Occasional front-of-house support (as needed)

  • Briefly cover the reception area when community managers step away
  • Take messages and field basic member questions
  • Answer or make occasional phone calls
  • Help direct visitors or give a simple walkthrough of the space when needed

We'll provide training on all of the above.

What we're looking for

  • Strong attention to detail — our members count on their mail being handled accurately
  • Comfortable using software, web portals, and email; quick to learn new systems
  • Friendly, professional, and grounded demeanor
  • Reliable and self-directed; able to work independently and prioritize when things get busy
  • Clear written and verbal communication
  • Previous experience in mailroom, reception, hospitality, customer service, or coworking is a plus but not required — we'll train the right person

The details

  • Schedule: 15 hours per week, fully onsite. Specific hours flexible within our 7am–7pm window, with a regular weekly schedule we'll set together. Additional hours may be available on demand or during busier times of year.
  • Pay: $18/hour
  • Location: 701 Tillery St #12, East Austin
  • Reports to: Community Managers
