Position Overview
We are seeking a highly organized and proactive Operations & Project Coordinator with strong execution skills and excellent communication abilities. This role is responsible for client coordination, business support, and project tracking.
The ideal candidate will play a key role in client communication, requirement follow-up, and business development, serving as a critical bridge between clients and internal teams.
Key Responsibilities
Client Communication & Business Support
- Manage daily client communications via email (e.g., Outlook) and respond promptly to client needs
- Track client requests, project progress, and related issues to ensure accurate and efficient information flow
- Assist in preparing RFQs/RFPs, proposals, and other business documents
- Organize and maintain contracts, purchase orders (POs), invoices, and related documentation
Client Coordination & Requirement Management (Key Focus)
- Proactively communicate with clients to understand project needs and service

- Translate client requirements into actionable tasks and coordinate with internal teams for execution
- Continuously follow up on client feedback, resolve issues, and improve client satisfaction
- Build and maintain long-term client relationships
Project Coordination & Execution
- Track overall project timelines and ensure milestones are met
- Coordinate communication between internal teams and clients
- Collect and organize project-related documents (e.g., service reports, delivery records)
- Assist in resolving communication and coordination issues during project execution
Business Development & Market Support
- Assist in developing potential clients through email, LinkedIn, and other channels
- Follow up with leads and maintain a client pipeline database
- Participate in industry exhibitions, conferences, and networking events
- Organize and track leads generated from events and support conversion efforts
Qualifications
- Bachelor’s degree or above (Business, Engineering, or related field preferred)
- 1–3 years of experience in client coordination, business support, or project coordination
- Strong English communication skills (written and verbal)
- Excellent communication skills and strong customer service mindset
- Highly organized, detail-oriented, and able to manage multiple tasks simultaneously
- Self-motivated with strong execution and follow-through abilities
- Proficient in Microsoft Office (Excel, Word, Outlook, etc.)
