Student Office Assistant | Work Study Fall '25

DEPARTMENT: Program Accreditation and Assessment provides oversight to AA/PPS reviews and other administrative / organization tasks.  We are looking for a motivated and enthusiastic student worker to support the administrative team. 

JOB SUMMARY: The Student Office Assistant is a part-time, work-study funded position that provides quality administrative duties to the leadership team.  

JOB DUTIES: 
• Greet guests visiting the departments. 
• Confidentially maintain records including data entry, scanning, indexing, and verifying documents.
• Maintain the facility, ensuring custodial and maintenance issues are identified and reported promptly.
• Assist with meeting preparations, events, hospitality, ushering, prepare/assemble documents, and materials.
• Other duties as assigned, such as delivering items to campus departments and light housekeeping duties.

KNOWLEDGE, SKILLS, AND ABILITIES:
• Punctuality as a priority.
• Strong customer service skills.
• Demonstrate being organized, detail-oriented, and excellent written and oral communication skills.
• Application materials (e.g., resume and cover letter) must be complete and free of grammatical and spelling errors.
• Knowledge of Microsoft Office, Adobe, and computer proficiency is required. Ability to use a scanner and multifunction printer.
• A positive attitude combined with integrity and dependability is essential.
• Desire to be part of a team and work collaboratively.

EXPERIENCE AND EDUCATION: Only Texas State University students with work study awards may apply for this position. Customer service experience, a plus. A Texas State GPA of at least 3.0 is preferred.

ON-CAMPUS JOB LOCATION: The position is located on the San Marcos campus in the Trauth-Huffman Hall (THH).

SUPERVISOR: The direct supervisor is Dr. Heather Aidala, Senior Administrative Assistant for Program Accreditation and Assessment.  

WORK SCHEDULE: Time expectation is 10-12 hours per week during the semester and tailored around classes per semester.  Office hours are 8 - 5, M-F.  

QUALIFICATIONS:  

  • Highly developed clerical and computer skills are required.
  • Candidates must be punctual, detail focused, and willing to provide exemplary customer service.
  • Must be a team player who is willing to chip in and is open to feedback and learning.

EMPLOYEE EVALUATION PROCESS: A STUDENT EMPLOYEE EVALUATION based on Career Readiness Competencies is presented upon hire to clarify expectations. A collaborative evaluation process will be conducted with the direct supervisor at the end of each academic year (two long semesters) to assist with growth and professional development.

PAYRATE DETERMINATION: All student employees begin at a starting pay rate of $12.00 per hour (based on equitable pay for similar responsibilities within Academic Affairs offices on the same floor). Upon completion of a satisfactory evaluation at the end of two long semesters, a pay increase of up to an additional $1 an hour may be awarded based on work study funding award.

HIRING TIMELINE: This position is posted for fall 2025 with the ability to be extended per semester based on satisfactory performance and annual evaluation.
